Incorrect Chapter Numbers in a FrameMaker 5.5.x Book Opened in FrameMaker 6.0 or Later

Issue

Chapter numbers are incorrect in an Adobe FrameMaker 5.5.x book opened in FrameMaker 6.0or later.

Solution

Make sure that the book's chapter numbering is set up correctly for FrameMaker 6.0or later:

1. Replace the chapter-number counter in autonumber formats with the <$chapnum> building block:

a. Open one of the book's files that has a paragraph format with an autonumber format for chapters.

b. On the Basic panel of the Paragraph Designer, choose that paragraph format from the Paragraph Tag pop-up menu.

c. Display the Numbering panel of the Paragraph Designer.

d. In the Autonumber Format text box, delete the counter that represents the chapter number (usually the first counter).

e. Place the insertion point where the counter was, and then select <$chapnum> from the Building Blocks scroll list.

f. Click Update All.

g. Repeat steps 1a-1f for any other paragraph formats with an autonumber format for chapters.

2. Set the value of the chapter number and the properties for paragraph numbering: Select one or more files in the book window, choose Format > Document > Numbering, and select the desired options.

3. If necessary, update master pages, cross-references, and reference pages in generated files:

-- For chapter numbers to appear in headers or footers, add the Chapter Number variable to master pages:

a. Choose View > Master Pages.

b. Place the insertion point where you want the chapter number to appear -- for example, before the variable Current Page #.

c. Choose Special > Variable.

d. Select Chapter Number, and Click Insert.

-- For chapter numbers to appear in cross-references, add a <$chapnum> building block to cross-reference formats.

-- For chapter numbers to precede page number references in generated files, in the reference pages of each generated file, type "<$chapnum>" before each <$pagenum> building block in paragraph entries for that generated file. For example, type "<$chapnum>" before <$pagenum> in the IndexIX paragraph entry of the Index or in the TitleTOC and Head1TOC paragraph entries of the Table of Contents. Then regenerate the files.

4. Choose Edit > Update Book.

Additional Information

FrameMaker 6.0 introduced a new building block, <$chapnum>, which simplifies chapter numbering. For example, compare these autonumber formats for FrameMaker 5.5.x to those for later versions:

You can use the <$chapnum> building block to count page numbers across a book--for example, for the numbering of page 2 in chapter 5 to appear "5-2." In FrameMaker 5.5.x, you can use the Prefix option in the Set Up File dialog box to simulate page counting, but you have to set that option in files individually, and FrameMaker does not count from one file to the next. This Prefix option isn't available in FrameMaker 6.0and later.

When opening a FrameMaker 5.5.x book, FrameMaker 6.0 and laterreturns the following alert:

The prefixes of components in the book have been converted to chapter numbers. Do you want FrameMaker to update the reference pages of the book's generated files with the new chapter number building block, <$chapnum>?

You will need to update paragraph numbering, cross-reference formats, and master pages in the book components yourself. For more information see the Books chapter of your FrameMaker user guide.

The generated files in this book are from a previous release. They will be converted to the current release. To keep the earlier version, use the File > Save As command with a different name.

If you click Yes to the alert, FrameMakerconverts prefixes of chapter numbers to the new method: It adds the <$chapnum> building block to the reference pages, although you must still manually set up cross-reference formats, master pages, and so on. If you click No to the alert, you must also manually add the <$chapnum> building block to the reference pages.

FrameMaker 6.0 also introduced a building block that allows you to do volume numbering, <$volnum>. For detailed information on using the two new building blocks in books, refer to the FrameMaker user guide.
